Event Managment, Mitchell College

Accessing the System:

  1. Navigate to the Faculty/Staff landing page and scroll down until you see the Brightly Event Manager icon.
  2. Click on the icon and log in using your Mitchell College email credentials.
  3. Once logged in, you will be directed to the Mitchell College Events Calendar. Pay attention to the three key sections circled in red:
    • My Profile
    • Locations: Lists all reservable spaces on campus.
    • Create an Event

Creating an Event:

  1. Click “Create an Event”:
    • Complete all essential fields marked with an asterisk (*).
    • Please remember that all reservations must be submitted 7 days in advance.
  2. Space Selection and Layout:
    • Confirm space availability and select your desired room layout from the provided templates.
    • You can choose an image from the gallery which showcases previous setups for reference.
  3. Contact Information:
    • Ensure your contact details are accurate, especially if you are submitting a reservation on behalf of someone else.
  4. Task Assignment: Please provide as much detail as possible in this section to ensure smooth coordination.
    • On the next page, you can specify required tasks, such as:
      • Facilities
      • Security
      • OIT (Office of Information Technology)
    • Selecting these tasks automatically notifies the relevant departments. For example, if your event needs a facilities setup, you will not need to submit a separate SchoolDude request; it will be handled through Brightly.
  5. Expected Attendance:
    • Indicate the number of expected attendees.
    • If your chosen space cannot accommodate this number, you will be notified and guided toward alternative options.
  6. Finalizing the Reservation:
    • Click “Submit” to complete your reservation. Your event will then be listed under “Pending” on the left sidebar and routed to the appropriate approvers.
    • You will receive a confirmation email once your reservation is approved.

Event Planning Tips

Step 1.

Before requesting space, make an event plan considering the following:

  • Allow plenty of time to plan. Many campus spaces are popular and need to be reserved well in advance of the event.
  • How many people will be in attendance?
  • Will there be food and/or drink?
  • When will the event take place?
  • Will you have a speaker?
  • Will you have technology needs?
  • Will you need assistance publicizing your event?

Step 2.

  • After you’ve made your event plan, log into Brightly Event Management System using your Mitchell credentials.
  • Once you are in Brightly Event Management System, you can check space availability and request to reserve campus space.
  • You will be notified by email if your reservation request is approved.
  • *Remember, Mitchell College Events reserves the right to move your event to a more appropriate venue.
